Who we are
Nika CPA Professional Corporation is a professional accounting firm led by a Chartered Professional Accountant registered in Ontario, Canada. We operate two practices — Nika Books and Ledgers (bookkeeping) and Nika Tax and Compliance(tax and compliance). When this policy refers to “we,” “us,” or “our,” it means Nika CPA Professional Corporation and both of its practices. This policy covers information collected through this website, our client portal, and any of our services.
What we collect
We collect only the information needed to serve you:
- Contact information — name, email, phone number, address.
- Tax information — social insurance number, date of birth, marital status, dependants, income sources, and similar details collected through our intake process.
- Business and bookkeeping information — legal name, business number, entity type, fiscal year end, transactions, and financial records.
- Identity verification — a photo of government-issued ID, as required under FINTRAC anti-money laundering rules for accountants.
- Financial documents — T-slips, receipts, statements, and any other files you upload or email to us.
- Usage data — basic analytics such as page views. We do not use third-party advertising trackers.
How we use your information
Your information is used to:
- Provide bookkeeping, personal and corporate tax, and related accounting services.
- Communicate with you about your account and our services.
- Comply with legal and regulatory obligations, including CRA filing requirements and FINTRAC rules.
- Improve our services and your experience using our portal.
We will never sell your personal information. We do not share it with third parties except as needed to deliver our services (for example, filing returns with CRA on your behalf) or as required by law.
Where your data is stored
Where it matters most, we keep your data in Canada: any service that stores your financial files — short term or long term — runs on Canadian-resident infrastructure, and documents you upload sit in private, access-controlled storage pinned to a Canadian region. Some tools that only process requests in transit without holding your records — such as our website host and business email — may be operated by US-based providers. All data in transit is encrypted with TLS.
How long we keep your data
The CRA requires business and tax records to be kept for six years. Consistent with CPA professional standards, we retain engagement files for at least seven years after the end of the engagement. Identity verification documents are retained for five years after the end of the business relationship, per FINTRAC requirements. You can request a copy of your data or ask us to delete non-regulated information at any time.
Your rights
You can:
- Request a copy of the personal information we hold about you.
- Ask us to correct any inaccurate or incomplete information.
- Ask us to delete information not subject to regulatory retention requirements.
- Withdraw consent for non-essential communications.

Accountability
Our firm principal is accountable for the personal information in our care and for compliance with this policy and with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). If you have a concern we have not resolved to your satisfaction, you also have the right to contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Cookies
We use essential cookies to keep you signed in and to remember your session. We do not use tracking cookies, advertising pixels, or third-party analytics that profile your browsing behaviour.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you by email or through a notice on our website. The “last updated” date at the top of this page reflects the most recent revision.
